## Initial System Setup

You can easily customize the general [Business Settings](/how-to-get-started/general-settings/editing-business-details) in TAKU to meet the needs of your business. However, if you want to get started quickly, simply review the following key settings:

# General Settings

This article will guide you on how to get started with setting up your business.

You will need to go through the following steps to setup the details of your business in TAKU Retail.

## Step 1 - Business Details:

Under this step you can enter information under "**Basic Information**" and "**Contact Information**" for your business.

A) Basic Information:

* Business Name
* Business Type
* Default Currency
* Business Logo

B) Contact Information:

* Website
* Location Type
* Attention (optional)
* Address Line 1
* Address Line 2
* Country
* Region
* City
* Postal/Zip code
* Email Type and Email Address
* Phone Type
* Country for your Phone Number
* Phone Number, Extension and Notes.

Once you are happy with the information you have added, click the "**Save**" icon located at the top left corner and click the "**Next**" button to go to the next step.

## **Step 2 - Denominations:**

Under this step you can enter the tender denominations that will be used for your business, on the left side you enter the tender denomination value and on the right side you enter the Type (Coin or Paper) for the denomination you just entered.

Use the **Add** icon to add new lines or the **Delete** icon to delete a line.

Once you are done with this step, you can click the "**Next**" button located at the right top corner of the screen to proceed to the next step.

## **Step 3 - Zone Tender Types:**

Under this step you can enter the **Tender Types** to be used for the Zone where the business is located, you have multiple columns and all of them are required fields:

* **Type**: This is where you select the type of tender you are adding (e.g. Cash, Digital Token, Fund Transfer, Debit, Credit, etc).
* **Description**: This is where you can enter a brief description for the new type of tender that you are adding (e.g. Debit, Credit, Cash, Check or Cheque, etc).
* **Currency**: Since it is possible that the store might take more than 1 currency, you have the option to select the currency that will be associated with the new Tender Type that you are creating (e.g. USD, CAD, EURO, POUND, YUAN, YEN, etc).
* **Transaction Type**: In this section you can select when this Tender Type can be used for, you have the option of using it for Sales Charges, Sales Paybacks, and Sales Returns.
* **Percentage Fee**: This is where you can enter the percentage/transaction fee (if any) for each transaction involving the tender type you are currently adding.
* **Flat Fee**: This is where you can enter the flat fee (if any) for each transaction involving the tender type you are currently adding.

Use the **Add** icon to add new lines or the **Delete** icon to delete a line.

Once you are done with this step, you can click the "**Next**" button located at the right top corner of the screen to proceed to the next step.

## **Step 4 - Store Tenders:**

Under this step you can select the Tenders that you would like to use for your store, you can select from the list of available tenders and use the arrow pointing to the right to move it over from the "**Available**" list to the "**Selected**" list. All tenders under the "**Selected**" list will appear in the Sales Tender screen.

Once you are done with this step, you can click the "**Next**" button located at the right top corner of the screen to proceed to the next step.

## **Step 5 - Sale Doc Formats:**

Under this step you can enter the **Prefix**, **Number of Digits**, **Starting Doc #,** and **Suffix** you would like to use for the documents that will be created. Notice how you can assign a unique **Prefix**, **Number of Digits**, **Starting Doc #,** and **Suffix** for the following Document Types: Cashout, Sales Invoices, Sales Returns, and Sales Buy Backs.

On the right side the system shows you a "**Preview**" based on the parameters that you have entered for each document type, you can click on the "**Save**" button to save any changes you make, or click the "**Undo**" button to undo any changes you have made since the last time you saved it.

Once you are done with this step, you can click the "**Next**" button located at the right top corner of the screen to proceed to the next step.

## **Step 6 - Inventory Doc Formats:**

Under this step you can enter the **Prefixes**, **Suffixes**, **# of Digits** and **Starting Number** to be used with different Document Types throughout different sections in TAKU.

Once you are done with this step, you can click the "**Finish**" button located at the right top corner of the screen to save and close the Setup Wizard.


# Business Details

Step-by-step guide to editing business details

You can edit your business details such as business name, logo, operational currency, and contact information.

The following steps will guide you through the process of editing your business details.

1. Go to **Settings →** **Business Settings**

2\. Click the **Business Details** card

3\. This will open the **Business Details** page where you can make edits to your Business Name, Business Type, Default Currency, your Time Zone, and Logo under the **Basic Information** section

4\. You can also edit your Website, Location Type, Address, Email, and Phone Number under the **Contact Information** section.

5\. Your **Business Logo** can also be added, removed, or changed on this page under Basic Information. To upload a logo, click the "**+ Choose"** button to upload an image file form your computer

# SKU & Account ID Formats

You can edit the SKU and account formats of your business.

The following steps will guide you through the process of editing your SKU and account format details.

1. Go to **Settings >** **Business Settings**

3\. On the Business Formats page you can format your internal **SKU** and **Account** numbers so that they are unique. To do this, simply click in the cells to define the **Prefix**, **# of Digits**, **Starting Number** and **Suffix**. &#x20;

4\. The Preview column will display how your **SKU** and **Account** numbers will appear in your business.&#x20;

# Financial Settings

Step-by-step guide to financial settings

You can edit or set your fiscal year under financial settings.

The following steps will guide you through the process of editing your fiscal year details.

1. Go to **Settings >** **Business Settings**

2\. Click the **Financial Settings** card&#x20;

3\. This will open the **Financial Settings** page where you can edit or add a new fiscal year.

4\. To edit an existing fiscal year, select the fiscal year you wish to edit and then click on the **Edit** button at the top left side of the Manage Fiscal Years section.

5\. The **Manage Fiscal Years** section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to make changes to the existing fiscal year inside the table by directly clicking on the values in the cells.

6\. Once the changes have been made the **Disk** icon will turn yellow. Click the icon to save your changes.

7\. To **Add** a new fiscal year, click on the **Add Row** button at the top right hand corner of the Manage Fiscal Years section.

8\. This will add a duplicate row in the table where you can edit the details of your new fiscal year.

# Inventory Options Settings

This guide will take you through the process of adding variant Options for matrix products in TAKU Retail. Options are the dimensions used to create different Variants of the same product such as Size, Color, etc.

Note that you can create unlimited Options in the Inventory Options Settings but each matrix product in TAKU Retail can have a maximum of 4 different Options

1. On the left menu, go to **Settings** > **Business Settings**
2. Click on **Inventory Option Settings**<br>

3. In the **Inventory Options Settings** screen you will see any existing Options and their values. To add a new inventory Option use the **Add Row** button at the top right<br>

4. Enter the **Option Name** into the new row such as size or color. Click the yellow **Save** button at the top left.<br>

5. To add values (e.g. blue, yellow, red, etc.) to an Option, click on the **Add/Edit** button of the corresponding row.<br>

6. On the **Inventory Options Setting Values** screen, click on the **Add Row** button at the top right to add a new value.<br>

7. Enter the **Option Value** in the new row and press enter or click the Add Row button again. Repeat steps 6 and 7 to add additional values.<br>

# Inventory Doc Formats

This guide will take you through the process of setting the format for your inventory documents.

Inventory documents are an important document that allow you to track, record, and analyze your inventory details.

In TAKU Retail, inventory documents are managed within Zone Settings. To learn more about zones visit the [Adding / Managing Zones](/how-to-get-started/zone-settings/adding-managing-zones) guide under Zone Settings.

The following steps will guide you through the process of setting up inventory document formats.

1\. Go to **Settings >** **Zones** > **Current Zone**

2\. The Current Zone Settings page will open with the selected zone indicated in yellow next to the page title.

**Note:** Whenever you are logged into a specific Store, the Current Zone will always be that store's Zone. To see the settings for other Zones while logged in a Store, click the View Zones dropdown menu on the top right corner of the Current Zone Settings page.

3\. Click on the **Inventory Doc Formats** card in the Current Zone Settings page.

4\. The document for Inventory Receiving is included with default settings for prefix, # of digits, starting number, and suffix.

5\. To format your inventory document, click on the edit button at the top left hand corner of the Inventory Doc Format section.

6\. The Inventory Doc Format section will go into edit mode indicated by the yellow (Edit Mode) next to the title in the header of the section. Now you will be able to make changes to the existing inventory document inside the table.

7\. Once you are finished, click the save icon at the top left hand corner of the Inventory Doc Format section to save.

**Note:** Once an Inventory Document Format is used in a transaction, it cannot be changed. Once the Inventory Document Format is changed, it will only affect inventory documents moving forward.

# Units of Measure

TAKU Retail comes with basic units of measurements enabled. You can disable, edit, add, and enable the units of measure according to your business needs.

The following steps will guide you through the process of enabling, disabling, editing, and adding units of measure.

1. Go to **Settings >** **Business Settings**

2\. Click the **Unit of Measure** card.

3\. The **Unit of Measure** page will open with the preset units of measurements. TAKU has Bag, Each, KG, and LB enabled by default.

4\. To make changes to the units of measurements, click on the **Edit** icon at the top left side of the Units of Measurement page.

5\. The **Units of Measurement** section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to make changes to the existing units of measurements inside the table.

6\. To **enable** and **disable** specific units, click the toggle button under the **Is Enabled** column.

7\. To edit the description of each unit, click on the cell in the Description column and type the preferred name.

8\. The measurement type can also be changed under the Measurement Type column. You can choose between **Standard** and **User-defined** options from the drop down menu.

9\. To add a new unit of measurement, you can add a **New U of Measure** or **Add Row** by clicking on the corresponding buttons.

#### Adding a new Unit of Measure

i. Click the **+** button

ii. This will open a window where you can enter the details of your new unit of measure. A Measure description is required and the measure type can be selected from the drop down menu.

iii. The unit of measure will by default be set to Active.

iv. Click the **Save** icon to input the new unit of measure into your table.

#### Adding a new Row

i. Click the **Add Row** icon

ii. This will put the Units of Measurement section into edit mode with a new row inserted.

iii. You can directly add the details of your new unit of measurement into the table.

iv. Once you are finished, click the **Save** icon at the top right hand corner of the Units of Measurement page to save.

# Inventory Categories

TAKU Retail comes with sample inventory categories enabled. You can disable, edit, add, and enable the inventory categories according to your business needs.

The following steps will guide you through the process of enabling and disabling, editing, and adding Inventory Categories.

1. Go to **Settings** → **Business Settings**

3\. The Inventory Categories page will open with the sample categories Giftware and Books included.

5\. The Inventory Categories section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to make changes to the existing inventory categories inside the table.

6\. To **activate** or **deactivate** the inventory categories, click the toggle under the Active column.

7\. To edit the **Category Name**, click on the cell in the Category Name column and type the preferred name.

8\. To add a new category, you can click on the "+" icon to add a **New Category** or the **Add Row** icon.

i. Click the **+** button

ii. This will open a window where you can enter the details of your new category. A category name is required.

iii. The new category will be set to Active by default.

iv. Click the save icon to input the new inventory category into your table.

i. Click the **Add Row** icon

ii. This will put the Inventory Categories section into edit mode with a new row inserted.

iii. You can directly add the Category Name and activate your new category in the table.

iv. Once you are finished, click the save icon at the top right hand corner of the Inventory Categories page to save.

# Inventory Brands

This guide will show you the steps to creating and editing brands in TAKU Retail. You can disable, edit, add, and enable brands according to your business needs.

The following steps will guide you through the process of enabling, disabling, editing, and adding new brands.

1. Go to **Settings >** **Business Settings**

2\. Click the **Brands** card.

3\. The **Brands** page will open. Shown below is a sample brand, however, there will be no brands added by default.

4\. To make changes to existing Brands, click on the **Edit** icon at the top left side of the page Brands page.

5\. The Brands section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to make changes to the existing Brands inside the table.&#x20;

6\. To enable the Brand, click the toggle under the **Is Enabled** column.

7\. To edit the Brand name, click on the cell in the Name column and type the preferred name.

# Account Settings

This section covers setup and settings for accounts.

Customer relationship management is an important tool for retails to record and manage their customers. One of the many features available in TAKU Retail is the ability to create account groups to organize your customers. The following guides will show you how to set up your account settings to be able to get the most out of your CRM.

There are two types of accounts in TAKU:

1. **Personal Accounts**
2. **Commercial Accounts**

A simple way to look at this is that **Personal Accounts** are consumers or individual shoppers. **Commercial Accounts** are companies for B2B sales. It's important to remember that Commercial Accounts will have company employees associated to them who are called **Contacts** in TAKU.

# Account Groups

TAKU Retail comes with a sample VIP Account Group which is set to Active. You can disable, edit, add, and enable the Account Groups according to your business needs.

The following steps will guide you through the process of enabling, disabling, editing, and adding new Account Groups

1. Go to **Settings >** **Business Settings**

2\. Click the **Account Groups** card.

3\. The **Account Groups** page will open with the preset **VIP** account group.

4\. To making changes to the account groups, click on the **Edit** icon at the top left side of the page Account Groups page.

5\. The **Account Groups** section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to make changes to the existing account groups inside the table.

6\. To activate or deactivate account groups, click the toggle under the Active column.

7\. To edit the Account Group name, click on the cell in the Description column and type the preferred name.

8\. Choose the type of account group you would like to make by selecting one of the options from the drop down menu.

* **Commercial**
* **Personal**
* **Both**

9\. To add a new Account Group, you can click the **New Acct Group** or **Add Row** icon buttons.

ii. This will open a window where you can enter the details of your new account group. An option for type of account group is required and can be selected from the drop down menu. There are three options: Commercial, Personal, and Both

# Currency Denominations

This guide will show you how to set up and edit denominations in TAKU Retail. You can edit or add denominations according to your business needs.

3\. The **Monetary Denominations** page will open. The monetary denominations are preset for US and Canadian currency.

5\. The **Monetary Denominations** section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to make changes to the existing denominations inside the table.

6\. To change the value of the denomination, select a cell under the Value column.

7\. To change the type of denomination, select an option for **Coin** or **Paper** from the drop down menu in the Cash Type column.

8\. To add another monetary denomination, click the **Add Row** icon at the top right hand side of the **Monetary Denominations** page. This will insert a new row in the table.

9\. Select the cell in the new row to add the value and cash type details. A monetary value is required and cannot be under 0.0001. As well, the Cash Type is a required field.

10\. To finalize your changes, click the **Save All** icon at the top left corner of the **Monetary Denominations** page.

# Cash Rounding

Cash rounding is helpful for countries with denominations less than 5 cents. This is especially important for a Canadians, who have eliminated the penny.

When taking cash, retailers need to be mindful of this and round to the closest 5 cents (anything lower than 3 cents is rounded down to 0¢ and over that number is up to 5¢; this is the same for anything over 5¢; it is rounded to 10¢). This rule does not apply if shoppers are paying by card as card merchants are able to take payment to the cent.

TAKU Retail allows retailers to accept multiple tenders (ex. splitting a transaction between a card and cash). What is important is that cash payments should *never* be the last tender; that way, penny rounding won't apply to the transaction.

In order for retailers to take cash payment accurately, please follow the next few steps.

### Check your Denominations

1\. Go to **Settings** > **Zones** > **Current Zones**

3\. This will open the Monetary Denominations page where you are able to make edits to the tender and cash type (coin or paper). Check that the denominations on this screen match the denomination used in your country.

4\. To remove a denomination, select the checkbox on the left column.\
Click the Delete icon to delete the tender type.

### Setup Cash Rounding

1\. Go to **Settings > Zones > Manage Zones**

2\. Select the pencil icon at the top left to enter edit mode<br>

3\. Edit the value under the Cash Rounding column to the minimum denomination that you accept.<br>

### Things to Consider

1. While Zones are often used to group stores by Country, it is also possible to use Zones to group stores by other criteria (e.g. East Coast vs. West Coast). Cash Rounding in a Zone will impact all cash sales for Stores within that Zone regardless of the Country. Make sure to check that the Cash Rounding for a Zone set up matches the requirements of local cash sales and the currency associated to the Zone.
2. Note that cash rounding does not apply to non-cash sales. It is customary for all non-cash sales to be processed to the closest accepted legal denomination. For example, in Canada, although pennies are no longer used in cash sales, all non-cash sales are still accepted to the closest penny.
3. TAKU Retail allows retailers to accept multiple tenders (e.g. splitting a transaction between different tender types such as credit cards, debit cards and cash). With multi-tender sales (e.g. the sales contains both cash and non-cash tender types), cash rounding will only apply if cash is the last payment applied to the sale.

# Creating / Editing Tender Types

### Adding a New Tender Type

1. To add a new tender type, click the **Add Row** icon at the top right hand corner of the Tenders section. This will insert a new empty row in the table.

2\. Select the **Tender Type** from the drop down menu in the Tender Type column.

3\. Enter a tender name under the **Tender Name** column. This name will appear on your sales register, receipts, and invoices.

4\. Fill in Currency and Transaction Type.

From the drop down menu select the **Currency** for this tender type under the Currency column.

**Transaction Type** is an important field for Tenders in TAKU. It allows you to control what type of transaction is allowed for every tender type. For every tender type, it is possible for a merchant to use it in the following ways:

1\) **Sales Charge** (Receive payment e.g. sales)

2\) **Sales Payback** (Pay out money e.g. petty cash)

3\) **Sales Returns** (Pay out money e.g. refund)

5\. Select the **Transaction Type** for this tender type from the drop down menu in the **Transaction Type** column. You can select multiple transaction types.

6\. Click the cell to enter the Percentage Fee for this tender type under the Percentage Fee column, if not applicable, enter 0.<br>

8\. Once all details have been correctly added, click the **Save All** icon to save the new tender type.

### Editing Tender Types

1. To make changes to the tender types, click on the **Edit** icon at the top left side of the Tenders section.

2\. The **Tenders** section will go into Edit Mode indicated by the yellow <mark style="color:yellow;">(</mark><mark style="color:yellow;">**Edit Mode**</mark><mark style="color:yellow;">)</mark> next to the title in the header of the section. Now you will be able to make changes inline (directly into each row) to the existing tender types inside the table.

**Note:** For keep proper transaction history, tender types cannot be deleted once they have been used in any transaction. Any used tender type that is no longer needed can be disabled.

3\. To enable or disable a tender type, add or remove the checkboxes under the **Is Enabled** column while you are in Edit Mode.

4\. Click the cells in the table to edit the details of a tender type, such as, **Tender Type**, **Tender Name**, **Currency**, **Transaction Type**, **Percentage Fee**, and **Flat Fee**.

# Creating Sales Taxes

This article will guide you on how to create Sales Taxes

1\. From the main screen, go to **Settings > Business Settings > Taxes**.

2\. Once the Tax screen opens, make sure the "**Sales Taxes**" tab is selected then click the "**New Tax**" (+) button, the system will open the "**Tax Details**" screen.

3\. Once the the "**Tax Details**" screen opens, you will need to enter the information that is required and other information that will be required from under the following sections: General Tax, Dates, Calculation Method, Accounting Method and Compound Settings.

### Sales Tax Field Definitions

**Tax Name**: This is name of the tax, it is very important to be specific as possible, as this is the main identifier.

**Tax Number:** This is the tax number issued for your business by the Tax agency that your taxes are reported to.

**Tax Receiver**: This is the name of the Tax Agency that taxes are reported to.

**Currency**: This is the currency used to collect the tax.

**Long Description**: This is where we can enter more information about the tax.

**Printer Acronym**: This is what will print when printing receipts or invoices.

**Effective Date**: This is the date that the tax will be active from.

**End Date**: This is the date that the tax will active until (If this tax does not expire, select the last possible date).

**How to Calculate:** This is where you select where the tax is calculated based by line (per item) or by total (amount).

**Calculate Based On**: This is where you select how this tax will calculate, whether Sales Price, Landed Cost or a Custom Value.

**Flat Tax**: This open will be selected if this will be a tax that will not change or does not depend on any variables as it will always be the same.

**Tax Basis**: This is how the tax will be charged, whether is charged based on the Origin or Destination.

**Tax Included**: This option will be used whenever the tax is already included within the price of products.

**Shipping Included**: This option is used in places where shipping is taxable, if enabled, tax will be charged for shipping. If the region that you are located does not charge tax for Shipping, then this option will need to be blank.

**Can Refund**: This option can be selected if the tax can be refunded back if for any reason a customer would like a refund on a transaction. Please check with your tax agency on whether this applies to the tax or not.

**Can Recover**: This option can be selected if the tax agency allows for tax recovery as it will vary from case to case. Please check with your tax agency on whether this applies to the tax or not.

**Compound Tax**: This a tax option that can be calculated on top of a single simple tax or more simpler taxes.

**Compound Sequence**: This can be used if you have multiple Compound taxes, you can set the sequence order of each compound tax, based on the number you enter here, where 1 represents the tax that will apply first, 2 will be the compound tax applied after the first one has been applied, etc.

Once you have entered the information that is needed, you can click on the "Save" button located at the top right corner, to save all the tax settings that you have entered.

# Creating Tax Rules

This article will guide you on how to create Tax Rules for use with Sales Taxes

TAKU Retail's feature for creating tax rules allows you to accurately apply taxes to your sales. This guide will show you how to step up a tax rule to make tax exemptions, offer tax rebates, and apply taxes.

From the main screen, go to **Settings > Business Settings > Taxes**. Once the Tax screen opens, make sure to select the "Rules" tab then click the "Add Tax" (Add) button, the system will open the "Tax Rule Details" screen.

Once the the "Tax Rule Details" screen opens, you will need to enter the information that is required and other information that will be required from under the following sections: General Information, Geography, Time Limits, Tax Categories and Others.

### Tax Rules Fields Definitions

**Tax Name**: This is name of the tax, you can select from the list of Sales Taxes created previously.

**Tax Rate**: This is the percentage used for the tax, this is the percentage specified by the Tax Agency that taxes are reported to.

**Effective Date**: This is the date that the tax will be active from.

**End Date**: This is the date that the tax will active until (If this tax does not expire, select the last possible date).

**Country**: This is the country that the tax agency applies for.

**Regions:** This is where we select the regions this tax will apply to.

**Cities**: This is where we select the cities this tax will apply to. This will be used if a certain tax applies to a specific city or cities.

**Time-Based**: This option will activate the Starting and Ending Time fields.

**Tax Calculation Type**: This option will allow you to choose from 3 different option: Positive, Rebate and Exempt.&#x20;

* POSITIVE is used by default when setting up a tax.
* REBATE is used when applying rebates to certain taxes (Please check with Tax Agency that taxes are reported to).
* EXEMPT is used when exemptions need to be made with taxes (Please check with Tax Agency that taxes are reported to).

**Tax Rule Priority**: This option will allow you to set priorities for different taxes, based on the number you enter here, where 1 represents the tax that will have the first "Priority", 2 will be the tax with lower priority than the tax created with "Priority" 1 but higher than a tax with "priority" 3, etc.

Note that TAKU allows you to use multiple taxes with the same priority, therefore it is very important that you set up taxes priorities with full knowledge of all the other taxes that have been previously set up. In the case of 2 conflicting tax rules, use Tax Rule Priority to determine which tax to apply first.

Once you have entered the information that is needed, you can click on the "Save" button located at the top right corner, to save all the tax settings that you have entered.

The System will display a "Service Message", to let you know that all tax settings have been saved.

# Creating Tax Categories

This article will guide you on how to create tax categories for use with tax rules.

From the main screen, go to **Settings → Business Settings**&#x20;

Once the Tax screen opens, make sure to select the **Categories** tab

The Categories page will open with the settings for **Inventory Categories** and **Account Categories**.

**INVENTORY CATEGORIES**

Under this section, you will be able to create categories to be used with tax rules, based on inventory. To create a new category, click the "New Tax Inventory Category" (**+**) button.

The "Tax Inventory Category Details" screen will open, in there you will be able to decide whether this is a category that will be active, if this is a category that you want to create but do not want to make active yet, you can click the toggle to deactivate, by default it is active. Then under the "Tax Inventory Category" field, enter the name for the new category that you are creating, and click the "Save" button and your new Inventory Category will be created and it is ready to be use.

The system will display a Service Message, to let you know that all the settings for this new Tax Inventory Category has been successfully saved.

**ACCOUNT CATEGORIES**

Under this section, you will be able to create categories to be used with tax rules, based on accounts. To create a new category, click the "Add Tax" (Add) button

The "Tax Account Category Details" screen will open, in there you will be able to decide whether this is a category that will be active, if this is a category that you want to create but do not want to make active yet, you can click the toggle to deactivate, by default it is active. Then under the "Tax Account Category" field, enter the name for the new category that you are creating, and click the "Save" button and your new Account Category will be created and it is ready to be use.

The system will display a Service Message, to let you know that all the settings for this new Tax Account Category has been successfully saved.


# Tax Exceptions

TAKU Retail's feature for creating tax rules allows you to automatically apply taxes to your sales. This guide will show you how to step up a tax rule to offer tax exemptions or tax rebates.

In order to create tax exceptions, you must first create a new tax rule. Please follow the [Creating Tax Rules](/how-to-get-started/general-settings/taxes/creating-tax-rules) guide to create a new tax rule. &#x20;

### Creating Tax Exemptions

To create a tax exemption, enter the rule name for your tax in the **Rule Name** field and select the sales tax you would like to apply the tax exemption to from the drop down menu in the **Tax Name** field. You will only be able to select active sales taxes while the rest will be locked.&#x20;

Enter the tax rate in a percentage that you wish to exempt in the **Tax Rate** field.

You must enter the country, postal/ZIP code, region, and/or cities that this tax exemption is applicable in.

Under the Others section, select **Exempt** from the drop down menu in the **Tax Calculation Type** field. It is optional to set a rule priority if there are multiple tax rules applied to the same sales tax. 0 is the highest priority meaning it is applied first and 1 is applied after and so forth.&#x20;

### Creating Tax Rebates

To create a tax rebate, you must follow the instructions above, however, select **Rebate in** the **Tax Calculation Typ**e field.

1. Create a new tax rule following the instructions from the Creating a Tax Rule guide.
2. Enter the name of the tax rule.
3. Select the Sales Tax this rule will be applied too.
4. Enter the tax rate that you wish to give as a rebate.
5. Enter geographic region this tax rebate is applicable in.
6. Select the tax categories this tax rule applies too.
7. Under the Others section select Rebate as the Tax Calculation Type and set a Tax Rule Priority if applicable.

Note: Tax exemptions can be assigned individuals, groups, companies, or products. Refer to the [Creating Tax Categories](/how-to-get-started/general-settings/taxes/creating-tax-categories) guide for more information on setting up tax categories.


# Privacy Consent Capture

In order to send any communication to customers, retailers need to get their written (digital) consent. To do this, TAKU has a **Customer Consent** section that is compliant to Canadian and US laws.

To access the Consent Capture page, go to the **Accounts** section > **Personal Accounts**.

You can also access accounts from the salesscreen as well by adding or searching a new Personal Account.

After finding or adding a new account, get customers' consent by clicking the Customer Consent button.

Tell customers to read the consent message and ask them to click the check box to agree to receive marketing messages.

# Zones Settings (Multi-Store)

TAKU Retail offers unlimited selling zones. You can create custom groups of stores based on geographical area (Canadian vs. U.S. stores), language, or any categorization suitable to your business. Organizing your stores by zones allows you to manage zone settings where you can assign and control different currencies, tender types, cash rounding, shippers, and stock allocations for different zones.

# Adding / Managing Zones

This article will guide you on how to add and manage zones in TAKU Retail.

This guide will show you how to create a zone for your business. Zones can be used to create groups of stores. For retailers with multiple locations, within a zone you can set specific currency denominations, payment tenders, stock allocations, and shippers that are applicable and unique to each zone.

***Expert Tip***: While many use Zones to group stores by country, it is also possible to group stores by currency, geography or language. Examples of zone splits include: East Coast, West Coast, English Canada, French Canada, etc.

The following steps will guide you through the process of creating, editing, and managing zones.

1\. Go to **Settings** → **Zones** → **Manage Zones**

### How to Add a Zone

1\. Click the **Add Row** button at the top right corner of the Zone section. This will insert a new blank row in the Zone table.

2\. Click the dropdown menu in the Country column to choose the country for the new zone.

3\. Enter a name for the new zone in the Zone Name column.

4\. Choose the currency that will be used in this zone form the dropdown menu in the Default Currency column.

5\. If applicable, add cash rounding for the zone under the Cash Rounding column. If not applicable, enter "0.00". Click [here](/how-to-get-started/general-settings/money-settings/cash-rounding) for more instructions on setting up Cash Rounding.

6\. Select the default cost basis from the dropdown menu for this zone.

7\. Once all details have been correctly added, click the Save All button to save the new tender type.

8\. The new zone will be activated by default. To make a zone inactive, see step 3 in Editing Zones.

### Editing Zones

1\. To edit existing zones, click the edit button at the top left corner of the Zone section

2\. The Zone section will go into edit mode indicated by the yellow (Edit Mode) next to the title in the header of the section. Now you will be able to make changes to the existing zones inside the table.

3\. To activate or inactivate a zone, click the check box under the Active column.

***Expert Tip***: Remember that every store is associated to a specific Zone. Be careful when making a Zone inactive, as it will also make all of the stores inside of the same Zone inactive.

4\. Once changes have been made, click the Save All button to save the edits.

### Managing Zone Settings

1\. To manage the settings of each zone, click the **Settings** button in the left most column of the Zone table.

2\. This will take you to the Current Zone Settings page where you can change settings for the denominations, tender types, shippers, stock, and inventory doc formats. The selected zone will be shown in the yellow brackets next to the title of the page.

3\. To select a different zone to manage settings for, click the dropdown menu at the top right corner and select the preferred zone from your list of zones. Zones that are inactive will be greyed in the list.

# Stock Allocations

This article will guide you on how to set multiple inventory stock.

Keep your stock quantities separate by location. Split your stock to as many custom allocations as you need – by stores, warehouses, your online store, stockrooms, etc. You can view inventory and stock levels across your entire business to meet customer needs in real-time in TAKU Retail.

The following steps will guide you through the process of creating, editing, and managing multiple inventory stock.

1\. Go to **Settings →** **Current Zone** **→ Stock**<br>

### Adding an Inventory Stock

1\. To add a new stock click on the New Stock button at the top right hand corner of the Stock section.

2\. This will open a Stock Details page where you can enter the stock ID, stock name, and details of the stock you want to create.

3\. Under the Basic Information section, you can choose the stock type and zone for this stock from the drop down menu.

4\. Under the Address Information section, you can enter the type of location this stock will be located and the address details for that location.

5\. Once all details have been correctly added, click the Save button at the top right hand corner of the Stock Details pages to save the new inventory stock.

### Editing Inventory Stock Details

1\. To edit the details of your stock, click to edit button at the top left hand corner of the Stock page.

2\. The Stock section will go into edit mode indicated by the yellow (Edit Mode) next to the title in the header of the section. Now you will be able to make changes to the existing stocks inside the table.<br>

3\. To active or deactivate an inventory stock, check or uncheck the box under the Active column.

4\. You can also click the View button in the left most column to view all the details of the inventory stock you wish to edit.

5\. The Stock Details page will open where you can edit the basic information and Address Information.

# Shippers

This guide will show you have to create, disable, or delete a shipper for your business. Shippers are zone specific, and can be assigned on the sales screen.

1. Go to **Settings > Zones > Current Zone**<br>

2. The **Current Zone** page will open displaying the options available to change for your zone. *Note: Whenever you are logged into a specific Store, the Current Zone will always be that store's Zone. To see the settings for other Zones while logged in a Store, click the View Zones dropdown menu on the top right corner of the Current Zone Settings page.*
3. Go to **Shippers**<br>

4. This will display any shippers that have already been setup in TAKU

## Adding a Shipper

1. There are 2 methods of adding a new shipper, the first method is using the New Shipper button by clicking on the **+** button at the top right<br>

2. This will open the new **Shipper Details** screen where you can enter the required fields (Shipper Name, Shipper Short Name, Shipping Method, Delivery Method)<br>

3. Once finished, click on the **Save** button at the top right<br>

6. Press the **Save** button at the top left when finished

## Disabling a Shipper

1. There are 2 ways to disable a shipper. The first method is by clicking on the **View** button<br>

2. Uncheck the **Active Box**. Save any changes<br>

## Deleting a Shipper

Inventory documents are used to adjust, transfer, and receive inventory.

# Sales Doc Settings

This sections covers the settings available for users to customize the salesscreen

When entering scanning or entering an item in the sales register, you can choose to combine quantities, add a new line item, or accumulate the last line item. These settings will be applied at the store level.

#### 1. Salesscreen Entry Method

Click the dropdown menu in the **Salesscreen Entry Method** field to select the item entry method for the sales register. This setting controls how products are added to your salesscreen during a transaction.

#### 2. Salesscreen Default Tab

Click the dropdown menu in the **Salesscreen Default Tab Options** field and select **Revisit**, **Bill To** or **Lists**.

#### 3. Auto-Copy Pinned Address

You can also choose if you would like to automatically copy the pinned address from a customer's account profile during a transaction.

# Store Policies

You are able to add your store policies and return policies right within the TAKU Retail app.

1\. Go into **Settings > Stores** > **Current Store**.

5\. Once your policies have updated, you will see a pop-up to ensure that your changes have been saved.

# Setting up Picture Gallery

This article will show you how to set up picture gallery in your TAKU POS salesscreen to make in-person sales

If you’re using the POS to sell in person, TAKU lets you use keywords, scan barcodes or click through a picture gallery to add products during a transaction.

### Making Gallery your default view in the Salesscreen

By default, TAKU shows the Revisit tab in the salesscreen at the beginning of every sale. If you prefer to use the Picture Gallery, change the **Salesscreen Default Tab** option in Store Settings to **Lists** by [following these steps](/how-to-get-started/store-settings/salesscreen-settings/sales-doc-settings).

### Creating Picture Gallery Categories

To get started, you will need to decide what Inventory Categories you would like to show in your Picture Gallery.

Because every product can be associated to multiple categories in TAKU, besides existing product-based categories (e.g. Toys), you can create unique categories specific to your Picture Gallery such as “Favorites” or “Popular.”

Go to **Settings > Business Settings > Inventory Categories > Show in Gallery**

If you would like to add new categories for your Picture Gallery, click the **+** button, complete the required fields and click the yellow Save icon.

To add multiple categories to your Picture Gallery, click the Edit button to enable the existing inventory categories you would like to have visible in your salesscreen Picture Gallery. Save all of the changes to the rows by clicking the yellow Save icon.

### Adding Products to Picture Gallery Categories

To add products to any new Categories, you need to:

* Add the categories to products
* Enable “Show in Gallery” in the products you wish to display

The fastest way to make these changes is to use the TAKU bulk editor. For detailed instructions on how to edit inventory in TAKU, click [**here**](/pos/inventory/editing-inventory-items).

### Changing the Order of Picture Gallery Categories

Depending on the size of your POS screen, there is a natural limit to how many categories (cards) will be visible on the main Gallery area. While you will be able to search and also click between different pages within the Gallery, it is suggested that you keep your most popular categories on the first page of the Gallery. This is done by re-naming your Category Names knowing that Gallery cards show in alphabetical order.

### Adding an Image to your Picture Gallery Cards

1. To add images to your Gallery cards, go to Settings > Business Details > Inventory Categories and click View for the category you are editing.

2\. Click **Choose** to select an image file for your category. Make sure to click the yellow Save icon button to save your new image.

# Return Settings

To make sure that products are returned with the appropriate details according to store policy, you can setup Return Reasons as well as other return rules in TAKU Retail.

1\. Go to **Settings** > **Stores** > **Current Store**

2\. Click the **Return Settings** card.

3\. The **Return Settings** page will open. Add reasons for returns using the **Add \[+]** button and filling in the **Return Reason**.

4\. Under **Return Reasons**, there is an **Additional Options** section that has other rules such as returns without invoices.

# Store Payment Settings

This article will cover how to set up payment settings for your store(s)

From the main screen, go to **Settings > Stores > Current Store > Payment Settings**.

**Current Store** will always display the settings for the store that you are logged into. While logged into a specific, if you have access to other stores, you can view their settings by using the dropdown menu to **Change Store**.

Use the **Payment Settings** to personalize the available tender types for every store. Use the buttons on the left to move Available tender types (these are based on Zone tenders) to the Selected tender types.

Use the buttons on the right to change the order of the tender buttons on the store POS salesscreen by changing the order of the Selected tender types.

# Cashout Settings

This guide will show you how to make general settings for your cashout.

You can select settings for general cashout settings, cashout slips, and setting a default float according to your business needs.

To access cashout settings go to **Settings** > **Stores** > **Current Store**.

Click on the **Cashout Settings** card.

#### Float Settings

Under General Settings you have the options to select your float. A float is the amount of cash kept in the register at opening for change due in cash sales. There are three options for float settings in your cashout:

1. **No preset Opening Float**: there is no money in the cash drawer when opening the cash register.
2. **Set Next Float while closing Cashout**: this option allows you to remove cash during closing cashout and automatically apply it to your next opening float.

   Note: Any cash discrepancy during the next opening will require the user to add a note.
3. **Preload Opening Float with Default Values**: this option allows you to preload the denominations for your opening float everyday.

In the Default Opening Float table you can set your opening float denominations by entering the amount you would like to keep in your float for each denomination. You can remove rows in the table by clicking the remove icon or add rows by clicking the Add New button. When adding a new row, you must click the amount to enter a currency denomination and then add the count.

#### Cashout Slip Settings

To customize your cashout slips, you can toggle between On and Off for the following settings:

1. **Add Signature Line to cashout slip**: this option will add a line for a signature to the bottom the cashout slip foran added security measure to track who has done a cashout.
2. **Show System cashout values**: this option will display the calculations done by the system and display them in the cashout slip.
3. **Show Over/Under cashout values**: this option will display the Over/Under amounts in the cashout slip.

TAKU Retail allows you to customize your sales receipts to include information you want and exclude information you do not want. You can print tape receipts, full page receipts, or email receipts. # Receipt Builders

This guide will show you how to customize your full page and tape sales receipts.

TAKU Retail allows you to customize your sales receipts to better fit your business needs. The guides below will help you set up your receipt formats to include the information you want and hide the information you don't want. You can create a full page receipt, a tape receipt, or both. You can setup the formats for both full page and tape receipts in the receipt builder. These settings will be applied to your receipts when you choose to print on tape or full page.

To format your receipts go to **Stores** > **Current Store**

Selecting Current Store will open **Current Store Settings**. You can set up full page receipts or tape print receipts by clicking on the respective cards **Sales Receipt Builder (Full Page)** or **Sales Receipt Builder (Tape)**.

The receipt builder has three tabs for three sections of the receipt: store, transaction, and payment. By clicking on the tab you can change the details of each section of the receipt by changing the toggle to **ON** or **OFF** for each option. A preview of your changes will show in the sample receipt on the left side of the screen.

### Store

Under the **Store** tab you will be able to add or remove:

* **Logo**
* **Store Name**
* **Website**
* **Email**
* **Phone Number**
* **Address**

### Transaction

Under the **Transaction** tab you will be able to add or remove:

* **Doc #**
* **Date**
* **SKU**

### Payment

# Email Receipts

This guide will show you how to email your sales receipts.

In TAKU Retail you are able to email the receipt to the customer directly from the sales register. In order to be able to email receipts you must set up the SMTP server.

To set up the SMTP server go to **Settings** > **Stores** > **Current Store.**

Click on the **Email Settings** card.

The Email Settings page will open where you can add the details to set up your SMTP server. To get the information required to set up your SMTP server, you will need to find the SMTP server details from your email provider.

Under the SMTP Server Options section:

* **SMTP Host**: Enter your SMTP host.
  * To find your SMTP Host, click on the following links.

* **Port**: enter the port number from your email provider.
* **Encryption**: Select your encryption method based on the port number and encryption method

* **Authentication**: Toggle between ON or OFF.
* **Username**: enter the email address you will be using to send emails to your customer.
* **Password**: this password will be set up by your email provider as an app password if you are using [Outlook](https://support.microsoft.com/en-us/account-billing/using-app-passwords-with-apps-that-don-t-support-two-step-verification-5896ed9b-4263-e681-128a-a6f2979a7944) or [Gmail](https://support.google.com/mail/answer/185833?hl=en). For all other email providers this is will be your email password.

Once you have entered the details to set up your SMTP server, click the **Save** icon at the top right hand corner to save your changes.

# Adding / Managing Stores

This article will guide you on how to add and manage stores.

Opening a new store in your business requires a lot of work, however, adding the new store to TAKU Retail takes a few minutes. You can add an unlimited number of store and manage them all from TAKU Retail.

### Adding a New Store

To add a new store in TAKU Retail:

Go to **Settings** > **Stores** > **Manage Stores**

Click the "+" add icon at the top right hand corner of the table to add a new store.

A Store Details window will open where you will input all the necessary information for your store. Only the required fields are needed to be filled in order to add your store, however, adding more information will allow you to keep stay organized and manage your store throughout TAKU Retail more seamlessly.

Under Basic Information you will need to add the Store Name, Store ID, and Default stock. To see how to setup a stock, click [here](/how-to-get-started/zone-settings/stock-allocations).

In this section you can also add:

* **Short Name**: an abbreviation or condensed version of your store name.
* **Website**: you can add the URL for your store in the website field.
* **Store Type**: you can choose between Physical, Dispatch, and Dynamic from the drop down menu.
* **Time Zone**: you can select the time zone for this store from the drop down menu.
* **Zone**: if you have a group of store or a zone dedicated to a specific type of zone then you can select the zone you wish to add this store to from the drop down menu. To find out more about zones, click [here](/how-to-get-started/zone-settings).
* **Store Logo**: you can add the store logo by uploading a file from your computer.

Under Additional Information you have three tabs: Address, Social, and Hours.

In the Address section you are required to input a region and city. Information entered in this section will appear on receipts, invoices, and related documents.

You can also add:

* **Location Type**: you can select if this store address is a residence, commercial space, PO Box, or other from the drop down menu.
* **Attention (Optional)**: By clicking on the "**+**" add icon button you can add a company name and an individual.
* **Address Line 1**: input the address of your store.
* **Address Line 2 (Suite, Unit, ect.)**: you can enter additional address information.
* **Country**: Select the country rom the drop down menu.
* **Postal/Zip**: enter the postal or zip code for this address.
* **Email Address**: you can enter an email address for your store here.
  * **Email Type**: you can assign the type of email address being used for this store from the drop down menu.
* **Phone Number**: input the phone number for the store.
  * **Phone Type**: select phone type option Work, Home, Mobile, Fax, Other from the drop down menu.
  * **Country**: select country from drop down menu.
  * **Extension**: enter an extension to the phone number is applicable.
  * **Note**: enter any notes for your store in this field.

In the Additional Information section, you can add your social media details. By clicking the **Add New** button you can insert unlimited number of fields for your social media details.

Under the Hours tab you are able to enter the hours of your store by clicking on the **Add New Period** button.

### Managing Stores

TAKU Retail is a multi-store manager that can view all your stores under one system. Follow the guide below on how to utilize multi-store manager.

In the Store table you can build an overview of all your stores by selecting the columns you would like to see in the table. To select the columns of your choice, click the drop down menu in next to 11 columns and select the columns to display.

To check the **Store Details** for any of the stores in this table list, you can click the "**View**" option on the far left side of the row for that store to open it's details.

To view the setting of each individual store, click the **Settings** button in the second column. This will take you to the Current Store Settings screen with the store you had selected the settings for. To change the store, you can click on the drop down menu in the Change Store field and select a different store. ### Adding a New Station

To add a new station click the Add Row button at the top right-hand corner of the Station table.

The Station section will go into edit mode indicated by the yellow (**Edit Mode**) next to the title in the header of the section. Now you will be able to add the details of your new station inside the table.

From the drop down menu you can select the store you would like to add a new station too

A station name is a required when creating a new station. Enter your station name in the **Station Name** field.

A station number is also required when adding a new station. You can enter your station number in the **Station #** field.

Once you have entered the details for you station, click the **Save All** button at the top of the table. The icon will be activated when all required fields are filled.

## Star TSP100 (Local Area Network)

In this article you will learn how to integrate and setup a Star TSP100 tape printer.

1. Ensure that the tape printer is powered on and connected to the computer. If a cash drawer is also to be installed ensure that it is connected to the tape printer using the correct cable.
2. Download the TSP100 futurePRNT Software Setup EXE file

3. Agree to software license to proceed with software download

## How to set up Star CloudPRNT printers (Cloud-based)

1. Prior to installation, you will want to make sure that the printer is powered on, and connected to your network via Ethernet cable to a router. Below is the link to download the driver for the mC-Print3 printer from Star Micronics. Download and complete the Installation for the “Star Windows Software Full” option:

2. Once it has been fully installed, open the Start Menu in Windows and search for “SteadyLAN”. Select the app called “SteadyLAN Setting Utility” to open it.

3. When it opens, it will take a moment to try and search for printers and then the printer will appear showing the following information, with examples below:

**IP Address:** 192.168.0.148

**MAC Address:** 00:11:62:1e:69:08

**Model Name:** Star MCP31

4. Open up a web browser and type in the IP address in the search bar at the top, and it will take you to the Network Utility for your printer.

5. Click the CloudPRNT option in the left-side menu found under “Network Configuration”.
   * Start by setting the CloudPRNT Service to “ENABLE”.
   * The Server URL is specifically for TAKU and each store database will have a unique portion added to the end of the URL.

* Polling time should be set to 1 Sec.

6. Then click the “Submit” button at the bottom. It will give a message saying “CloudPRNT is accepted!” where you must then click “Save” on the left-side menu.

7. With the option selected for “Save → Restart device”, click the “Execute” button. The printer will reboot.

8. Now open TAKU Retail and login to your database. Using the left-side menu navigate to Settings → Stores → Current Store → Printer Settings.

9. Click the “Add Row” button in the top-right corner and fill out the information:
   * Give the printer a unique name.
   * Enter the MAC Address for this printer which can be found in the Network Utility from step 3.
   * Under Manufacturer select “Star CloudPRNT”
   * Check the option for “Active” to Activate/Enable the printer for TAKU.
   * Click Save All in the top-left corner of the table when finished.

10. Then navigate to Settings → Stations → Manage Stations. In this screen, you will see three (3) different columns for Receipt Printer, Prep Printer, and Packing-List Printer.

In the Store column you can use the drop-down menu to select the current store that you would like to associate one of it’s stations to the new printer.<br>

11. Then select the pencil icon “Edit table on page”. From here, use the drop-down menu for the “Type of Printer” on the specific “Station” that you would like to associate the printer to. For example, below we are going to setup a Receipt Printer for Station 2. The name found in the printer drop-down is the name that was assigned in Step 9.

You may repeat this process for any other stations that have either one of the 3 printer types. Click Save All in the top-left when you are done. After the printer has been assigned to the given station, that station will now be able to print successfully.

Below are example printouts of each of the different 3 types of printer options:

* **Receipt Printer** (Invoice): A standard invoice receipt containing an invoice return barcode, line items and prices including the subtotal and tax amount.
* **Prep Printer** (Prep Order): Used for a kitchen printer or similar environment where only smaller, simple printouts of the line items are required.
* **Packing List Printer:** This is used for a shipping or warehouse setting where the pricing information must be hidden and only the line items should show.

## How to setup a Zebra (ZD411) label printer

In this article you will learn how to setup the Zebra label printer such as the ZD411.

1. Prior to installation, you will want to make sure that the printer is powered on and connected to your Windows computer USB port. Below is the link to download the driver for the ZD411 label printer from Zebra.
2. Download and complete the Installation for the “Windows Printer Driver v8”:

## Supported Label Sizes

TAKU Retail supports the following label sizes:

### **Barcode Labels**

* 1" x 1"
* 2.25" x 1.25"
* 2.25" x .75"

### **Shelf Labels**

* 2.50” x 1.25”

## Configuring the Label Printer Driver

1. Once the best version of the driver is installed, go to Windows Control Panel > Devices and Printers
2. Right-click on your Zebra printer and go to Printer properties to start.

3. At the bottom of the Printer properties window, click on Preferences.

4. In the Printing Preferences window, ensure that your proper label size is selected. You will want either **1.25" x 1"** or **2.25" x 1.25"**.\
   a. Make sure the orientation is set to **Portrait**.\
   b. At the bottom, you will also want to minimize the **Unprintable** **Area** by entering 0 in all fields.\
   c. The driver will probably put numbers in, as seen below, but this will ensure that all available space is being used:

5. Click **Apply** and then click **OK** to close the **Printing Preferences** window.
6. In the **Properties** window, click on the **Advanced** tab.
7. At the bottom of the **Advanced** tab, click on the **Printing Defaults** button:

8. In the **Printing Defaults Advanced Options** window, select your label size (either **1.25" x 1"** or **2.25" x 1.25"**) Click Apply and then OK.

9. Click on the **Printer Settings** tab at the top. Under the Override Application Defaults Settings section, enable the **Always Use Driver Settings** option.

# Restricting Discounts by Product

This section will cover how stores can restrict discounts down to the product level.

When making entering a sale in the Sales Register, you are able to discount a product from within the salesscreen. After entering an item click **View**.

The **Inventory** screen will now open. This screen contains: **Basic Info, Inventory Settings, Barcodes, Images, Tags, Notes**... etc.

Under **Basic Info** > **Pricing Options,** you are able to set permissions for price editing, and line discounting (setting a maximum amount that staff can discount both in the salesscreen and return screen).

Setting **Max line discounting in salesscreen** enables an approved discount range. Example: if a store had a 25% off storewide sale (excluding some items) and retailers set a max discount for an item at 10%, store associates will not be able to discount more than 10% off the product.

Adding a number value here will create a discount cap (in this instance, the maximum line discount that an associate can offer for this product is 10%).

# User Roles

This article will guide you on how to create roles for user management

## Creating a New Role

1\. From the main screen, go to Settings > User Management > Manage Roles. Once the Manage Roles screen opens, you will need to click on the "+" (add) button as shown below.

2\. You will need to enter the Role Name. The new User Role will be active by default. Access Rights can be changed after the role has been created.

**Role Name:** This is the name that will be used for this role.

**Access Rights:** These are the module(s) that this role can have access to.

3\. Once you have entered that information, you will need to click on the "Save" button. The system will display a "Service Message" letting you know that all records have been saved successfully.

## Assigning Roles to Users

# Access Rights by Role

This article will guide you on how to setup and manage access rights for different roles.

From the main screen, go to **Settings > User Management > Manage Roles**. Once the Manage Roles screen opens, click on "Access Rights" located beside the Role that you would like to add, edit or remove access rights to.

Notice how with our example we will be editing the "Cashier" Role, click on Access Rights on the same row as the role you would like to change.&#x20;

After the "Access Rights" option has been open, you will be presented with the tabs: Data and Visibility.

**Data**: This will allow information from specified sections to be changed by each role.

**Visibility**: This will hide or make a feature visible to each role.

## Making a Simple Cashier Role

For this example we will make a simple cashier role with access rights in mind. You may use different access rights than this example.

Cashiers will be able to:

* Access all of the sales screen
* Add and edit customers (Personal Accounts)
* View inventory stock

Cashiers will not be able to:

* Delete customers (Personal Accounts)
* Change pricing

To allow the Cashiers to open and view the screens related to sales, we will go to the Visibility tab and check “Visible” for all options under the Sell Menu. You can enter type a description to filter the results.

Check “Visible” for any screen that the Cashier will have access to. When the changes are complete, press the save button.

### Personal Account Access Rights

To allow the cashier to add, edit, and view customers (Referred to as Personal or Commercial Accounts in TAKU, we will use Personal Accounts for this example) we will need to enable visibility access rights to the Accounts Menu as well as change Data access rights.

In the visibility tab search the Description for Accounts Menu > Personal Accounts, here we will see all the components/screens related to the Accounts menu that can be visible or hidden to the user.

If we want to allow the cashier to view Personal Accounts, the General Tab, Status, and Notes only, check the “Visible” box for those options.

When viewing a Personal Account as a Cashier, you will notice that the options that were not checked “Visible” will be hidden.

To allow the Cashier to add and edit Personal Accounts we will move over the to Data tab. Here you can select the Accounts Module from the drop down list.

Check Edit and Add for the Personal Accounts. Since the Delete option is not checked, Cashiers will not be able to delete any Personal Accounts. Save any changes made.

### Inventory Access Rights

To allow the Cashier to view inventory stock, we will have to enable visibility to the Inventory List menu and the Stock Levels. Under the Visibility tab search for Inventory Menu in Description.

2. On step 2 of the import data process you will be presented with 3 options to import inventory pertaining to how duplicate records should be handled.
3. If you do not have any import files prepared, you can download the appropriate template by clicking on Download Inventory Template

If you will be importing matrix items, please refer to the [Inventory Options Settings](/how-to-get-started/general-settings/editing-business-details/inventory-options-settings) page first to set up the options that will appear in the import file.

4. When you are ready to import click Associate File, this will open an file explorer so that you can select the import file.

6. On this screen the import file will be checked for any errors. It will indicate how many rows are OK and how many have ERRORS. # Matrix Product Import

This article will guide you on how to successfully import matrix products

If you will be importing matrix products, refer to the below article on how to properly add matrix products to the import file.

Refer to this article to setup inventory options:

When importing matrix products, special care needs to be taken when creating the import file.

1. Download the inventory template by going to **Settings > Import > Inventory List**, and then selecting **Create New Records Only**, you will then be able to select **Download Inventory Template**

2. Add the parent product to the import file
3. Enter **Parent** into the Product Type column
4. Fill out the Option Name(s) that this matrix will have (ie. Colour, Size) use Option Name 2, Option Name 3, and Option Name 4 if you will have more than 1 option.
5. Directly under the parent product, add new rows for each of the product options available for this product
6. For each product option, enter **Child** into the Product Type column
7. Fill out the Option Name(s) and the Option Value(s) for each product option

## Examples

*Note that other mandatory columns were hidden so content would fit in this image*

### **Product with One Option**

In this example 9999007 is the parent product, it appears as the first product in this matrix import, the product type is set as Parent, and the option name has been entered but no value is required for the parent.

Each of the product options appear directly underneath the parent, the product type is set as Child, and Option Names and Option Values are fully filled.

* There is a limit of 4 possible different options for each product

6. On this screen the import file will be checked for any errors. It will indicate how many rows are OK and how many have ERRORS. If there are errors listed, click on **Download Error File**, which will generate a file that indicates the errors on each row. Make the required changes and then press Import New File, alternatively you can restart from step 1 with the corrected file.

NOTE: Import errors will be listed on the first column.

7. If all rows are OK and there are no errors, proceed to import by pressing Import Now. There will be a progress bar indicating the current progress, please leave the webpage open to complete processing.
8. Upon completion an Import Summary will be displayed which will indicate how many successful or failed records were imported.

The progress of your unfinished transaction is saved as a draft in the background and can be recovered from Parked Transactions from any Station associated to the same Store. So if you’re having hardware issues, you can easily log back into the same Station with another device or have another User at a different Station complete the sale, right from where you left off.

From the main screen click under **Sell > Sales Register**

## Optional: Adding a customer to the transaction

Click on **“Search for Account or Add New”**, enter the account number, or name of the customer and select the appropriate account.

After selecting a customer, the CRM tab will show the customer’s Profile which includes details such as Name, Birthday, Email, and Phone. The full customer profile can be accessed by selecting “Account Details”

The customer’s History shows their Total Sales, Total Returns, Last Sale, and their invoice history.

## Adding Items to the Invoice List

You can add items to the current transaction by using the “Scan or Search for Items” field located at the top right. After clicking on the “Scan or Search for Items” field, scan the product’s barcode or type in the product title/SKU to search for a product.

When searching, a drop down list will appear with relevant results. Scroll through the results and click on the appropriate product to add it to the transaction.

Once the product has been selected, it will appear on the left in the invoice list. Continue adding the items to be purchased in this transaction.

After all products have been added to the invoice, select the green “Pay” button at the bottom to proceed to the tender screen.

**Optional:** Clicking on **Discount**, **Taxes**, and **Shipping** will show details on breakdown of pricing.

In the Tender screen you can select the tender types that will be used, and select receipt printing options. Select the tender type(s) that will be used for payment.

An Amount input box will appear defaulting with the full amount due. If the full amount is being paid with this tender type, select the green “**Accept**” button.

If there will be multiple tender types, adjust the amount and press “**Accept**”. Select the next tender type and repeat until the balance is fully paid.

## Receipt Print Setup

From the Print drop down box, select either Tape Size for tape printers, or Letter size for standard printer size.

Select **DONE** to print receipt and finalize the invoice.

The print preview window will come up with a preview for the selected receipt size, select the correct Destination printer and press “Print”.

With TAKU, it is possible to sell using a mixture of keyword search, category shortcodes, barcode scanners or picture gallery in the salesscreen. However, if you would like keep Gallery always visible by default during POS in-person sales, simply follow the instructions [here](/how-to-get-started/store-settings/salesscreen-settings/sales-doc-settings) to set **Lists** as your Salesscreen Default Tab (the tabs on the right menu).

The **Lists** tab in the TAKU salesscreen gives you 3 ways to quickly find products during a sale.

#### 1. **Gallery**

Click to select products grouped by category. These categories can be configured to include as many products as you want. You can even include products in multiple gallery categories (e.g. Favorites and Treats).

#### 2. Inventory

If you can’t find the product you’re looking for by keyword search or barcode, use the Inventory tab to see your entire active inventory list and quickly add products to the salesscreen. Multi-filter to find hard-to-locate products.

#### 3. Search Results

TAKU even has a way to make it easier for you if you’ve selected the wrong product during keyword search. The Search Results tab shows the results of your last keyword search. Easily select the correct product without having to search again.

1. In order to ring in a sale, you need to add items into the **Salesscreen**. You can use keyword search, barcode scanners, category barcodes, [picture Gallery](/pos/sales-and-returns/how-to-make-a-sale/selling-with-picture-gallery) or create products "on the fly" (adding them to inventory as you sell them) to add products to a sale.

2\. Click the **Dropdown** arrow to view and edit **Inventory**, **Quantity** and **Discount** details for every line item.

3\. View and edit product details by clicking on the SKU number. # Deleting a Line Item during a Sale

This article will guide you on how to delete a line from a transaction that has not been finalized

An item may have to be deleted/removed from the transaction if it has not been paid for, or if the customer has changed their mind.

To delete a specific item, click on the “**X**” icon to the right of the product.

# Clearing the Salesscreen

# How to Park or Suspend a Transaction

This article will guide you on how to park or suspend a transaction during a sale.

Parking transactions is a feature that allows you to save an invoice as a draft and recall it at a future time. It is particularly useful in busy stores where shoppers may need to step out of line temporarily. Essentially, it allows cashiers to keep lines moving by helping other customers first without needed to re-enter the products on the suspended sale when the shopper returns to the line.

1. At any time while adding products to the salesscreen, click on the **"Park"** button located under the Invoice Note section.

Once you click on the "Park" button, a confirmation screen will appear, asking you to confirm whether you do want to Park the current invoice or not. Click the "Yes" button to proceed and park the transaction.

If the transaction was parked without any issues, the system will display a "Service Message" at the top right corner of the screen, letting you know that the transaction was saved successfully.

***Note***: When suspending or parking a sale, line items, the associate account and invoice notes are saved. To prevent confusion with payments, tender details will not be saved and will need to be recorded again. Generally, it only recommended to suspend or park transactions without any payments yet.

# Re-opening a Suspended or Parked Transaction

This article will guide you on how to re-open a transaction that has been previously suspended or parked.

From the Salesscreen, you can click on the **"Parked"** button located on the right hand side of the screen. You can also access parked transactions by selecting **“Parked Transactions”** under the **“Sell”** menu on the main navigation menu (left side menu).

Once you are on the Parked screen, select the date range of parked transactions to display and press “Search”. To view the details of a parked transaction, click on the “Eyeball” icon on the left most column.

### Recalling a Suspended or Parked Transaction

Once the Revisit Details screen opens, it will display the products, quantities, and prices at the time the invoice was parked. If this is the correct transaction, you can close the Revisit Details screen and press the “Shopping Basket icon” to reload it on the salesscreen.

Once the transaction has finish loading, you can continue with the invoice and checkout as per normal.

### **Deleting a Parked Transaction**

To delete a parked transaction, select the **“Garbage Bin”** icon from on any saved transaction loaded on the **Parked Transactions** screen.

Accept the confirmation message if you are sure you would like to proceed. Once a parked transaction has been deleted, it cannot be recalled.

# Creating Accounts during a Sale

To save time on creating new accounts, you are able to create a new account on the salesscreen directly.

Select the **Add \[+]** icon.

This will open a drop-down that allows you to create either a **New Personal Account** or **New Commercial Account**.

NOTE: **Personal Accounts** are accounts for individuals. **Commercial Accounts** are for commercial accounts that may contain **Personal Accounts**.

Clicking Personal Account will open a pop-up. Fill in all of the relevant information in the form.

In order to send customers marketing materials, you need to ask for their consent.

# Creating Products during a Sale

For some products that have not been added to the system yet, retailers are able to add them directly from the sales screen.

Click on the **“Scan or Search for Items”** field, enter the name of the new product you would like to add and select **“Add New Product”**

This will open the inventory screen with the product title automatically filled out, you can adjust the other details of the product including but not limited to the Sell Price, Stock Levels, Barcodes, Category, and picture.

**NOTE:** You can also assign a keyword to the product so that it can be easily found on the sales screen by adding it as an internal barcode.

# Price Editing during a Sale

Adjusting the price of a product after it has been added to the salesscreen

If you need to constantly adjust the price of products and do not want to use discounts, you will need to enable price editing during sales. Price editing during sales is set up at the product level. There are 2 ways to enable price editing during sales:

2. [Bulk editing in the Inventory List](#enabling-price-editing-in-bulk)

***Note***: The **Allow price editing in salesscreen** checkbox on every Inventory page will need to be visible and editable for users to be able to adjust pricing during sales. If you do not see this checkbox or it is disabled, please speak to your TAKU Administrator to review the inventory access rights of your assigned user role.

### Enabling Price Editing from the Salesscreen

To enable price editing by product, expand a product by clicking on the dropdown arrow of any line item added to the salesscreen.

Click on “Pricing Options” to expand the menu and check **Allow price editing in sales screen**.

Save the changes using the yellow Save icon on the top right.

After returning to the salesscreen, click on the **Pencil** icon located to the right of the price to edit it during a sale.

***Note***: Users will only be able to edit the price up to the standard sell price. For example, if an inventory item has a sell price of $100 and price editing enabled, users may only adjust the sell price during a sale to an amount between $0 and $100.

Enter the desired price and click **“Accept”** to change the price. Once all products are correct, proceed to Checkout as per normal.

### Enabling Price Editing in Bulk

To enable price editing on many products at the same time, you can use the Bulk Edit functions in the inventory list table.

1. Go to **Inventory > Inventory List** from the main menu.
2. Single or multi-filter the list as required until you have the products you wish to edit at the same time.
3. Click the Column Chooser dropdown menu on the top left and enable **Edit Sale Price** (and **Edit Return Price** as required). Hide any columns you don't need or drag the 2 columns into your view.

4\. Select the rows (or select all) that you wish to enable at the same time.

5\. Choose the **Edit Sale Price** column from the **Bulk Edit Options**.

6\. Select the appropriate Edit Options.

7\. Click Preview to review how the changes will be applied.

8\. If the preview does not look correct, simply click the Revert button (the back arrow button next to save) and everything to go back to its last saved version.

9\. If the preview looks correct, make sure to click the yellow Save button to save the bulk changes all at once.


# Setting a Future Pickup Date

To set a future pickup date during a regular sale, click the **Invoice Details** button to change the **Fulfillment Status** to *Unfulfilled* and proceed with the rest of the sale.

1. Any sale or order that is not fulfilled (e.g. picked up by the customer) at the time the transaction is created, will automatically appear under **Upcoming Orders** in the main navigation menu once the transaction is finalized.
2. All sales or orders that need to be fulfilled (e.g. not taken by the customer at the time the transaction is created) will require an **Account** to be associated. This is to make sure that there is a customer associated to the transaction and that there is a way to contact the customer.

# How to Return in the Return Screen

This article will guide you on how to do a return or exchange

### 3 Types of Sales Documents

There are different types of transactions in a retail business. This is why there are 3 types of sales documents in TAKU to properly track transactions and payments:

1. **Sales Invoices** for in-store sales
2. **Return Invoices** for all returns
3. **Online Sales Orders** for online sales

Because of the complexity of omnichannel retail, it is increasingly important for merchants to track where sales are made, to return inventory to stock properly and to know which products sell best in every channel. This is why it is always recommended that retailers process returns using the Return Screen.

### 2 Ways to Use the Return Screen

#### A. [**Return Against an Invoice**](#a.-return-against-an-invoice-1)

This is the most common return policy of retail stores. With this method, stores require shoppers to provide a receipt before a return is accepted. During the return process, the store will search for the original invoice using the invoice number, check that the items being returned match those purchased and, most importantly, the return document allows the quantity of returned items to be added back into the inventory of the store. This is particularly important for retailers today as stock level accuracy is necessary for real-time availability in online sales channels.

#### B. [**Return without an Invoice**](#b.-return-without-an-invoice)

If your store accepts returns without receipts, it is possible to process **No Receipt** returns in TAKU that still add the returned products back into inventory. However, it is not a standard Return Document. **No Receipt** returns are consider **Item Buybacks** which is a form of buying and receiving products back into inventory. Generally, this method of return is only recommended if it is possible for a retailer to easily determine if something was purchased in the store, even without a receipt.

### A. Return Against an Invoice

If you accept returns that require a receipt, you will need to locate the original TAKU sales invoice in the Return Screen.

1. From the main screen, go to **Sell** > **Return**.

**Optional:** Once the Returns screen opens, under the "Account Selection" enter the customer name that was used when the sales document was created.

2\. Under the “**Return Item Search**” section, there are several search fields to find the invoice associated with the return. It is not necessary to fill out all of the fields as they are used to refine your search and make it easier to locate a specific invoice.

3\. Once you have entered the information click “**Search**”. If there are too many results, you can further refine the results by adding more information and clicking “**Search**” again.

4\. All matching results will be listed with additional details including doc #, account, date, time, total, and pay type. Once the matching Sales Document has been found, select it using the “**SELECT**” button on the left most column.

5\. After selecting a document to return, the transaction details will appear.

6\. You can return individual items by clicking the “**Return**” button corresponding to the line item, or return all items using the “**Return All**” button.

7\. Once you have selected the item(s) to be returned, the system will display the total amount to be returned at the bottom of the screen. Click “**Return (F9)**” to proceed.

8\. From the tender screen, select the payback tender type that you will be using to refund the customer.

9\. Once you have entered the amount for this tender type, click on the “**Accept**” button. You can repeat this for any additional tender type if you allow multi-tender refund.

10\. After the tender types have been selected and the balance displays $0, you can proceed to finalize the return. Select a receipt size if necessary and click “**Done**”.

### B. Return without an Invoice

3\. If you return to the Return Screen, you should see a No Receipt button in the Return Item Search section. If you click the No Receipt button, you will be able to use the search field to add the product(s) being returned.

4\. Once you have added all of the products being returned, click “**Return (F9)**” to proceed.

5\. From the tender screen, select the payback tender type that you will be using to refund the customer.

# How to Return or Exchange in the Salesscreen

This article will guide you on how to process returns or exchanges directly in the TAKU salesscreen

For proper tracking of inventory and payments, the best way to process returns is to use Return Invoices (1 of the [3 types of sales documents](https://help.takulabs.io/pos/sales-and-returns/how-to-return-in-the-return-screen#3-types-of-sales-documents)) in TAKU. However, there are times when retailers may want to be able to make returns or exchanges directly in the salesscreen. Some of the reasons for this include:

1. Offering product exchange instead of only product returns
2. Minimizing merchant processing fees in situations where there are fees on return transactions

It’s important to remember that the different screens (Salesscreen vs. Return Screen) are designed to log transactions as different “sales document types.” So any sale made in the Salesscreen is saved as a Sales Invoice, and any return made in Return Screen is saved as a Return Invoice in the transaction history. This history is reflected in the reporting and the Dashboard on the main screen of TAKU.

### Allowing Returns and Exchanges in the Salesscreen

1. If you operate a store that accepts returns without an invoice, make sure that the No Receipt return method is enabled in **Settings > Stores > Current Store > Return Settings > Allow returns on the salesscreen with negative values**

2\. If it’s not yet enabled, enable the **Allow returns on the salesscreen with negative values** toggle and click the yellow Save icon to save your changes to the return settings.

When you use the Salesscreen to accept returns or exchanges, **all transactions are recorded as Sales Invoices**, not Return Invoices. Besides the impact on reporting and the dashboard, the Total for such a Sales Invoice may be a negative amount if the final transaction balance required a refund.

3\. By enabling the **Allow returns on the salesscreen with negative values** option, a Return button will be visible in the salesscreen. When this option is disabled, the Return button will be hidden. As long as the Return button is visible, it is possible to process an entire return or an exchange in the salesscreen.

4\. With an exchange, it is best to add the items to be returned first, then add the new items into the salesscreen. To do this, you click the Return Button, adjust the search filters and click the Search button in the Return Item Search screen.

5\. After adding any items to be returned from the same invoice, you can add any new items the customer is purchasing. You can also associate an Account to the sale, just like a regular sale. Depending on the value of the items being returned vs. the new items being purchased, the balance will either require a payment by or a refund to the customer.

***Expert Tip:*** As long as cash rounding is set up in TAKU, any refunds paid back to customers with cash (or where cash is the last tender applied in a multi-tender refund) will correctly round to the required pennies. 6\. After the tender types have been selected and the balance displays $0, you can proceed to finalize the transaction. Select a receipt size if necessary and click “**Done**”.

# Offering Store Credit for Returns


# Creating Pre-Orders (Prepaid)

Whenever you need to process an order without the customer in the store (e.g. phone, text, email orders), you can use the existing sales register to indicate the **Source** of the sale and to change the **Fulfillment Status**. If you're using TAKU Pay, you can even accept credit cards securely.

1. All sales or orders that need to be fulfilled (e.g. not taken by the customer at the time the transaction is created) will require an **Account** to be associated. This is to make sure that there is a customer associated to the transaction and that there is a way to contact the customer.

2. Any sale or order that is not fulfilled (e.g. picked up by the customer) at the time the transaction is created, will automatically appear under **Upcoming Orders** in the main navigation menu once the transaction is finalized. *Note that transactions in Upcoming Orders are always sorted by Outgoing Date for easier fulfillment.*

3. From the sales register, change the **Source** field at the top of the salesscreen to *Store*, *Phone* or *Online*

# Creating Pre-Orders (Unpaid)

With TAKU, you can sell unpaid pre-orders of products for pick up at a future date

1. Because credit card checks require payment integration, the Pre-Order function in TAKU is only available to stores that use our integrated TAKU Pay payment processing.

2. Any sale or order that is not fulfilled (e.g. picked up by the customer) at the time the transaction is created, will automatically appear under **Upcoming Orders** in the main navigation menu once the transaction is finalized. *Note that transactions in Upcoming Orders are always sorted by Outgoing Date for easier fulfillment.*

3. All sales or orders that need to be fulfilled (e.g. not taken by the customer at the time the transaction is created) will require an **Account** to be associated. This is to make sure that there is a customer associated to the transaction and that there is a way to contact the customer.

4. Navigate to **Sell** > **Sales Register**

2. To switch to **Pre-Orders**, click on **SALES** located at the top left and select Pre-Orders. The header will now show PRE-ORDERS.

3. Add a customer Account to the transaction.
4. Add products to the pre-order the same as you would during a regular sale. Click [**here**](/pos/sales-and-returns/how-to-make-a-sale) to learn more about how to use the TAKU salesscreen.
5. Please enter the outgoing date on which the customer will receive the item.

6. Click the **Pay** green button to open the tender screen
7. At this point, you will have two options to finish or finalize this pre-order.
   1. Click the **DONE** button to finish the pre-order *without a credit card check*.
   2. To do a credit card check and save the card, select one of the integrated credit card payment tender buttons (including integrated Terminal, Manual Entry or Saved Card). The card being used will be authorized for $0.50 and then immediately cancelled. This check is done only to verify the validity of the card being used and will not charge anything to the customer.


# Commitments (Recurring Orders)

Recurring orders is a way to easily create repeat orders for customers. This is particularly useful stores that sell products that are constantly refilled such as for vitamins, supplements or beauty products which customers.

Unlike other subscriptions, TAKU allows you to create a "promise to buy" or "Commitment" for recurring orders for any items being sold with just 2-clicks during regular store checkout. No need to pre-create any subscriptions in advance. And with TAKU, you can also offer a small discount to customers for enrolling based on the refill frequency.

1. Because of the complexity to securely save payment details, all Recurring Order functions in TAKU are only available to stores that use integrated TAKU Pay payment processing.
2. Due to the need to fulfill future Recurring Orders, an Account (customer) must be associated to a sale before any product can be made to be recurring in the salesscreen.
3. Whenever a promise to buy or Commitment is created, an email address must be associated to the Account and the sale so that Confirmations and Reminders can be sent out.

# Selling Repeat Products during POS Checkout

With TAKU, it's now possible to convert any product during a sale in your POS into automated repeat orders, similar to the way that "Subscribe & Save" works during online checkout.

1. Go to **Sell** > **Sales Register**
2. When [adding products to the salesscreen](/pos/sales-and-returns/how-to-make-a-sale), simply ask your customer if they would like to put any of the items in the current sale into a standing order. Depending on your [Recurring Order Settings](/how-to-get-started/zone-settings/recurring-order-setup), you can incentive your customer by offering a small discount similar to "Subscribe & Save".
3. Make sure to [add an Account](https://help.takulabs.io/pos/sales-and-returns/how-to-make-a-sale#optional-adding-a-customer-to-the-transaction) to the salesscreen as a customer is required to enable the recurring functions.
4. Click on the dropdown to the left of the item which the customer would like to set up for auto-refill.

5. From the **Recurring?** dropdown, select the appropriate frequency. If the product has Usage Detail set up, Default Refill Frequency will be available in the dropdown. If the product has more than one “Default Refill Frequency” you will have to select the frequency name in the next field.

6. By default, the **Repeat?** field is set to ongoing (indefinite). If you wish to set up a limited number of repeats, choose one of the other options available.
7. To finish off the current sale and automatically create a "Commitment" for future orders, simply click the green Pay button to open the tender screen.
8. Whenever a sale has a Recurring product in it, an email will be required to send out Confirmation and Reminder notifications.
9. To securely save a card on file to apply to the future orders, a card terminal, manual entry or an existing saved card can be used. With TAKU Pay card terminals, cards are saved automatically as the **Save Card for Future Use** checkbox is enabled by default which securely vaults credit card details with encryption for safety.
10. Click **DONE** to finalize the current sale and to automatically create the Commitment. Besides any printed receipts, your customer will receive two emails. One for the current sale and one to confirm the terms of the Commitment.

Note that PCI Compliance rules require that customers have the ability to cancel recurring payments on their own. With TAKU, customers can do this by clicking the link at the bottom of Confirmation Emails (see sample above) and confirming that they wish to cancel.

# Managing Commitments

Once a Commitment has been created, your customer will receive an email confirming that a saved payment method will be used for future recurring orders.

Note that PCI Compliance rules require that customers have the ability to cancel recurring payments on their own. With TAKU, customers can do this by clicking the link at the bottom of Confirmation Emails and confirming that they wish to cancel.

At the same time, the new Commitment will be added to the list of all active commitments which can be viewed by going to **Sell** > **Commitments** in the main navigation menu.&#x20;

## Day-to-Day Management of Commitments

Now that you have commitments from your customers, you will need to remember to check the Commitments list so that you can:

# Generating Recurring Orders from Commitments

Once you have active Commitments, you will need to remember to do the following as much as required:

1. check the **Next Charge Date** column in the list of all commitments.

2. When the Next Charge Date for a commitment is due, all that you need to do is select the row using the checkboxes on the left and click the Generate Order button on the top right corner of the list.

3. Note that once an order is generated, the Commitment will be updated to the next cycle dates and the action cannot be reversed.

4. All generated recurring orders are visible in the Upcoming Orders list located in the main navigation menu under **History** > **Upcoming Orders** for staff to process for fulfillment.


# Skipping, Pausing or Voiding Commitments

Sometimes customers need to skip, pause or void their commitments. If that happens, you can do this directly in the commitments list.

## Pausing / Resuming Commitments

1. From the commitments list, search for and find the commitment you would like to pause.
2. Press the Pause/Play.

3. Accept the confirmation message.

4. Payment Status will now change.

## Skipping the Next Charge

1. From the commitments list, search for the commitment you would like to skip.
2. Press the Forward icon.

3. Accept the confirmation message. Note that this action cannot be reversed.

4. The Next Charge Date will skip based on the recurring frequency of the commitment.

## Voiding a Commitment

1. From the commitments list, search the commitment you would like to void.
2. Press the Stop icon.

3. Accept the confirmation message. The Payment Status will change to Voided. Again, note that this action cannot be reversed.

Click on the arrow located on the left hand side of the product. This will expand the options which includes: discount based on discount percentage (before tax), discount amount (before tax) and Final Price (before tax).

**Line Unit Discount by %:**

Select the "%" (percent) icon and enter the percentage which will be taken off the original price. The new price will be before taxes (if using taxes). The calculator icon can be used to open a number pad for entering an amount, or type the amount directly in the "Amount" field.

**Line Unit Discount by $:**

Select the "$" (dollar) icon and enter the amount which will be taken off the original price, this new price will be before taxes (if using taxes).

Select the "Final Price" icon and enter the amount which will become the final price, this new price will be before taxes (if using taxes).

After the desired discount type has been selected and you are ready to finalize the invoice, you will need to click under the "Pay" option to proceed to the Payment Screen.


# How to Apply Bulk Line Discounts

A bulk line item discount is used when applying a discount to all items in the shopping cart. Use the following steps to apply a bulk line discount in TAKU Retail.

Bulk line items can be applied when you have added items in the Sales Register. In this example, there are two products added to the Sales Register.

To apply the a bulk line item discount, click on **Discount**. A box will appear where you can select the amount of discount you would like to apply to each line in the sale.

# Applying Sub-Total Discounts

Sub-total discounts are price changes made to the final price of all items in a transaction.

To make sub-total discounts, first scan or input product(s) into the sales screen.

Select **Discount** under Sub-Total.

This opens the **Discount** pop-up which allows you to give **Bulk line discounts** or **Discount on Sub-Total**.

The major difference between **Discount on Sub-Total** and **Bulk Line Discount** is that the **Sub-Total Discount** applies the discount to the sub-total for the entire invoice, whereas the **Bulk Line Discount** applies the same discount to each item individually.

This is important to remember because some businesses have items with price fluctuations every day (ex. grocery stores). TAKU gives more control and flexibility to retailers by allowing them to set permissions for staff to edit prices.

Input the discount amount by clicking on the calculator icon, then press **“Accept”** when you are finished.

# Adding Inventory Items

This article will guide you on how to add inventory items to TAKU.

From the main screen click under **Inventory** > **Inventory List**

Click on the "**+**" (add) button located at the top right corner of the screen.

Enter the information for the product that you are creating. Under **"Basic info"** the following fields are mandatory, **SKU** (Stock Keeping Unit), **Description** and **Sell Price**. Other fields such as the price editing permissions and stock type are also available.

### Details tab

By Default when adding a new inventory product the **"Details"** tab will be selected under the "**Inventory Details**" which contains the following info: Stock Levels, Images, Tags, Barcodes, and Costing for the product.

### Additional tab

Under the **"Additional"** tab, you can add the following info: Alternative Product Title, long description, policy for this product, dimensions, volume, and weight.

### History tab

Under the **"History"** Tab, you will see the history for the product.

### Integrations tab

Under the **"Integrations"** tab, you will be able to customize the settings for your enabled sales channels. Under the **"Google Shopping"** card, you will be able to enter Basic Product Data, Product Identifiers, Product Categories and Detailed Product Description that will be uploaded to Google using the Google Shopping integration.

Once you have entered the Required fields under "**Basic Info**" and have entered the rest of the information you need for the product, you can press the Save button and the product will now be part of your inventory.


# Editing Inventory Items

This article will guide you on how to edit inventory items in TAKU.

### Editing Inventory Manually

1. From the main screen, go to **Inventory** > **Inventory List**.
2. On the Inventory List screen, you can search for items by using any of the fields that contain a magnifying glass such as keyword, or PLU.
3. Note that some columns may not be visible in the default Inventory List screen. To add or remove any of the columns, click the dropdown in the Column Chooser.

4\. Once you are done filtering and you have found the inventory item to be edited, click “**View**” on the left hand side.

5\. Once the product details appear for the inventory item selected, you can make the changes needed to the product and notice how the "**Save**" icon becomes available.

6\. Once you click the "**Save**" icon, the system will display a "**Service Message**" letting you know that the changes have been saved successfully.

### Editing Inventory directly in the Inventory List table

1. To save time, it’s possible to edit inventory items directly in the inventory list table in TAKU. From the main screen, go to **Inventory** > **Inventory List**.
2. On the Inventory List screen, click the Edit (pencil) icon to turn on Edit Mode

3\. Once you are in Edit Mode, you can edit many of the fields and rows in the Inventory List table by clicking the field.

4\. Make sure that you click the yellow Save icon before leaving the page to save any changes you have made.

### Editing Inventory with the Bulk Editor

1. To save time, it’s possible to edit a group of inventory items faster using the bulk editor in TAKU. From the main screen, go to **Inventory** > **Inventory List**.
2. On the Inventory List screen, click the Edit (pencil) icon to turn on Edit Mode

3\. Once you are in Edit Mode, select the rows you wish to edit all at once using the bulk editor.

4\. Once you have finished making the required changed for the column you are editing, the Preview button will enable.

5\. Click the **Preview** button to see the changes applied. Note that your changes are NOT saved while you are previewing. If you are not happy with the changes, click the Revert button (the Back Arrow button to the right of the Save button) to undo the bulk edit preview.

6\. If, after reviewing the Preview, you are happy with the results, make sure to click the yellow Save button to save all of your changes.

***Expert Tip:*** If you are using Picture Gallery, you can enable “Show in Gallery” on every inventory detail page or in bulk using the editor.
