3 Types of Sales Documents

There are different types of transactions in a retail business. This is why there are 3 types of sales documents in TAKU to properly track transactions and payments:

  1. Sales Invoices for in-store sales

  2. Return Invoices for all returns

  3. Online Sales Orders for online sales

Because of the complexity of omnichannel retail, it is increasingly important for merchants to track where sales are made, to return inventory to stock properly and to know which products sell best in every channel. This is why it is always recommended that retailers process returns using the Return Screen.

2 Ways to Use the Return Screen

This is the most common return policy of retail stores. With this method, stores require shoppers to provide a receipt before a return is accepted. During the return process, the store will search for the original invoice using the invoice number, check that the items being returned match those purchased and, most importantly, the return document allows the quantity of returned items to be added back into the inventory of the store. This is particularly important for retailers today as stock level accuracy is necessary for real-time availability in online sales channels.

If your store accepts returns without receipts, it is possible to process No Receipt returns in TAKU that still add the returned products back into inventory. However, it is not a standard Return Document. No Receipt returns are consider Item Buybacks which is a form of buying and receiving products back into inventory. Generally, this method of return is only recommended if it is possible for a retailer to easily determine if something was purchased in the store, even without a receipt.

A. Return Against an Invoice

If you accept returns that require a receipt, you will need to locate the original TAKU sales invoice in the Return Screen.

  1. From the main screen, go to Sell > Return.

Optional: Once the Returns screen opens, under the "Account Selection" enter the customer name that was used when the sales document was created.

2. Under the “Return Item Search” section, there are several search fields to find the invoice associated with the return. It is not necessary to fill out all of the fields as they are used to refine your search and make it easier to locate a specific invoice.

3. Once you have entered the information click “Search”. If there are too many results, you can further refine the results by adding more information and clicking “Search” again.

4. All matching results will be listed with additional details including doc #, account, date, time, total, and pay type. Once the matching Sales Document has been found, select it using the “SELECT” button on the left most column.

5. After selecting a document to return, the transaction details will appear.

6. You can return individual items by clicking the “Return” button corresponding to the line item, or return all items using the “Return All” button.

7. Once you have selected the item(s) to be returned, the system will display the total amount to be returned at the bottom of the screen. Click “Return (F9)” to proceed.

8. From the tender screen, select the payback tender type that you will be using to refund the customer.

9. Once you have entered the amount for this tender type, click on the “Accept” button. You can repeat this for any additional tender type if you allow multi-tender refund.

10. After the tender types have been selected and the balance displays $0, you can proceed to finalize the return. Select a receipt size if necessary and click “Done”.

B. Return without an Invoice

  1. If you operate a store that accepts returns without an invoice, make sure that the No Receipt return method is enabled in Settings > Stores > Current Store > Return Settings > Allow returns without an invoice

2. If it’s not yet enabled, enable the Allow returns without an invoice toggle and click the yellow Save icon to save your changes to the return settings.

Expert Tip: Note that the Allow returns without an invoice toggle controls the No Receipt button in both the Return Screen AND the Salesscreen.

3. If you return to the Return Screen, you should see a No Receipt button in the Return Item Search section. If you click the No Receipt button, you will be able to use the search field to add the product(s) being returned.

4. Once you have added all of the products being returned, click “Return (F9)” to proceed.

5. From the tender screen, select the payback tender type that you will be using to refund the customer.

6. After the tender types have been selected and the balance displays $0, you can proceed to finalize the return. Select a receipt size if necessary and click “Done”.
